The rental economy

ATV rentals and guided rides, sold from one basket

An off-road operator sells two different things to the same family on the same morning. A seat on a guided ride, and a machine that leaves the trailhead with a stranger on it. Only one of those fits a ticketing model.

Two products, one trailhead

The guided ride is timed capacity. Eight machines leave at ten with a guide, and the software needs to know how many seats are left. That is the shape every tour platform was built for and it sells it well.

The self-drive rental is a unit. A specific machine with a serial, a service history, a condition at handover, and a document set attached to the person taking it out. The booking has to land on that machine rather than on a count.

Most operators sell both, often to the same family, and the question for the software is whether it can hold a seat and a unit in one basket and settle them as one order.

Where the seat model runs out

A seat stops existing at the end of the ride. A machine comes back marked, and sometimes it comes back with a fault that has to keep it off the board until it is fixed. A capacity model has no place to put that, so the fault lives in a text to the mechanic and the machine gets sold the next morning anyway.

The document load is heavier here than almost anywhere in rentals. A licensed driver per machine, insurance verification, a signed waiver, a sobriety check in some jurisdictions, and photographic condition evidence at both ends. Miss one and a single incident can end the operating season. A seat model holds a waiver through a partner integration and nothing else on that list.

Rental software and tour software solve different problems goes through the gap line by line.

The licence and the insurance are uploaded by the customer before arrival, the waiver is signed on the same link, and for anything that gets driven away a sobriety check is held against the person driving it. All four sit on the person rather than on the order, so the counter is a handover rather than a queue.

What one basket has to hold

Capacity for the ten o'clock ride and availability for the self-drive machines, drawn from the same records, so a machine out on a guided ride is not also sold as a rental for the same hour. One customer record and one place the guest replies to. One checkout, with the document requests going out per person on the confirmation.

Then, on return, the same inspection for both. The guided machines come back marked too, and the mark lands on the unit whichever product it was sold under.

Capacity, guides and guest messaging run on the same record as the rental, so a kayak for the afternoon and a guided paddle for eight arrive in one basket.

Timed capacity beside physical stock. One checkout, one confirmation, one place the guest replies to.

Where the incumbents still win

An operator whose revenue is mostly guided rides, with a few self-drive rentals alongside, is a tour business and is well served by a platform built for exactly that. The reseller distribution and the install base are real, and a handful of rentals can be managed around the edges.

The order of events flips as the rental side grows. Once the machines going out with strangers are the revenue, the document set and the service state are the operation, and the seat model is the thing being worked around.

What it will not do

Bodhisys collects, stores and attaches the documents. It does not verify a licence against a government database and it gives no legal advice about what your jurisdiction requires before a machine leaves the trailhead. It does not bring OTA distribution with it either, and an operator getting meaningful volume through reseller networks is buying something it does not sell.

Can one system sell ATV guided tours and self-drive rentals?

Yes, if it holds a seat and a unit in the same basket. The guided ride is timed capacity, which any tour platform sells well. The self-drive rental is a specific machine with a serial, a service history and a document set per driver, and it has to be sold against that machine rather than a count, kept off the board when it comes back with a fault, and inspected on return whichever product it went out under.

An operator whose revenue is mostly guided rides remains better served by a tour platform. Once the machines leaving with strangers are the revenue, the document set and the service state are the operation.

Questions

Does Bodhisys sell guided rides as well as rentals?

Yes. Guided tours and timed activities sell alongside rentals in the same flow, on the same customer record, and settle as one order.

Can a machine on a guided ride be double-sold as a rental?

No. Capacity for the ride and availability for the rental draw from the same unit records, so a machine committed to one cannot be offered for the other in the same hour.

What documents are collected before an ATV leaves?

Per listed driver: a licence upload, insurance detail, a signed waiver and, where the jurisdiction requires it, a sobriety check with video confirmation. The machine stays held until the set is complete.

What does Bodhisys cost?

There is no monthly fee. A 4.5% charge is added to each reservation and paid by your customer at checkout.

If this is your operation

A demo takes six fields and someone who understands rental operations calls you back. Where Bodhisys is the wrong fit you will hear it on that call rather than after three meetings.
