The rental economy

Property managers are a channel with a schedule attached

Short-term rental growth did not only fill houses. It created a stream of guests arriving somewhere with none of their own equipment, on a schedule somebody else sets.

Where the demand came from

A family staying in a hotel rents from a kiosk in the lobby or does without. A family staying in a house for a week arrives with a car full of luggage and no bikes, no beach chairs, no crib and no cooler.

That is the demand a decade of short-term rental growth produced, and it lands on operators in every coastal and resort market whether or not they went looking for it. It is also the reason delivery became the default in several of these categories rather than a service line.

The channel behind the demand

Property managers and concierge services sit between you and that guest. They are a genuine channel: repeat volume, addresses you already know, and a booking that arrives before the guest does.

The terms differ from a consumer booking. Expect net rates or a referral percentage, an expectation of priority service in peak weeks, and a manager who will drop you after one delivery that lands at the wrong villa. The relationship is worth more than any single order and it is lost by an operational failure rather than by price.

The schedule is not yours

This is the part that catches operators. The delivery window is set by somebody else's check-in time and somebody else's flight, and it has to fit around a cleaning crew.

A crib has to be in the house, assembled and clean, before a family carrying a sleeping toddler comes through the door. Nobody is there to take the delivery, and access is a code, a lockbox or a cleaner who may already have gone.

Route density helps and does not save you, because these stops are constrained in time rather than only in space. A run has to respect the window first and the geography second.

The addresses come off the reservations. The run is built as one loop that turns right out of the depot and right back into it, so no road is driven twice and no stop is passed before its window opens.

Every stop closes with a photo, a timestamp and a location, which is what settles a delivery dispute in October.

What it asks of the operation

Addresses and access details captured at booking rather than chased the night before. Delivery windows that a run is built around. Proof that an unattended drop happened, with the access detail on the same record. A pickup on the checkout day that does not collide with the next arrival.

Route planning and delivery confirmation are the two capabilities this channel leans on hardest, and per-unit cleaning and safety records matter more here than in any other segment, because a parent may ask to see them.

Pricing a channel that brings its own volume

Net rates look like a discount and behave like a fixed cost, because the volume is predictable and the addresses repeat. A stop in a neighbourhood you already serve twice that morning costs you very little at the margin.

That is the honest case for a lower rate to this channel: density. The unhonest version is discounting for volume that lands in the same peak hours you were already full in, which buys you work rather than profit.

Where it goes wrong

Concentration. An operator who builds a season around two property managers is one contract renewal away from a bad year, and the manager knows it.

The mitigation is a direct book of business alongside the channel, which is a marketing job and a plumbing job at the same time. The guest in that house is somebody you can serve directly next summer, and only if you kept the record.

How do rental companies work with vacation rental property managers?

As a channel with predictable volume and repeating addresses, usually on net rates or a referral percentage, in exchange for priority service during peak weeks. The demand exists because guests staying in houses arrive without equipment, and it is delivered rather than collected.

The operational load is the schedule. Delivery windows are set by check-in times and cleaning crews rather than by the operator, drops are unattended and access is a code or a lockbox. Addresses and access details captured at booking, runs built around windows, and proof of delivery attached to the order are what keep the relationship.

Questions

Should we offer property managers a lower rate?

Where their volume raises route density in an area you already serve, the lower rate is paid for by the lower cost per stop. Where it lands in hours you are already full, it buys work rather than profit.

What happens when nobody is home for the delivery?

The drop is closed with a photo, a timestamp, a location and any access detail such as a lock combination, and that record reaches the guest and stays on the reservation. For unattended deliveries it is the whole proof the job was done.

How much of a season should come from one channel?

That is a judgement about risk rather than a number we can give you. Two managers carrying a season is a concentration an operator should be able to survive losing.

If this is your operation

A demo takes six fields and someone who understands rental operations calls you back. Where Bodhisys is the wrong fit you will hear it on that call rather than after three meetings.
