The rental economy
The transaction at the centre of this industry is handing something valuable to somebody you met four minutes ago. The cost of that is real and most of it is absorbed rather than priced.
Insurance premiums are the visible part. Under them sit damage you absorb because pursuing it costs more than the repair, disputes that end in a refund, and the units taken out of service while any of it is sorted out.
Only the first arrives as an invoice, which is why the other three rarely get managed. An operator can tell you the premium to the dollar and can rarely tell you what damage cost across a season.
Start by counting it. Repairs attributable to a rental, refunds issued after a dispute, and days a unit spent off the board because of either. That figure is the one your policies and your evidence are being bought to reduce.
A beach chair carries almost none. A crib carries a safety standard and a recall history. A scooter carries a rider who may be inexperienced. A plated low speed vehicle carries a driver on a public road, insurance requirements and, in some jurisdictions, a sobriety check before it moves.
The document set that holds a unit back belongs to the unit for that reason rather than to the person taking the booking. One catalogue has to hold both rules, because an operator with course carts and plated vehicles in the same lot is not going to run two systems.
The category you are in decides how much of this applies. The mistake is applying the beach chair process to the vehicle.
Most disputes are not arguments about fact. They are arguments about whose memory to believe, three days or six weeks later, with no record on either side.
A photographed condition check at handover and again at return, held against the unit rather than against the booking, converts most of those into a short conversation. A photo, a timestamp and a location at an unattended drop does the same for delivery.
It costs seconds per handover and it is the difference between a claim and an argument. Damage disputes and proof of delivery cover both ends.

Deposits, damage waivers and excess charges are all ways of moving some of the cost onto the transaction that creates it. Each one also costs you bookings at the margin, because a large hold on a card is a reason to book elsewhere.
Cancellation is the other side of the same question. A late cancellation is a revenue loss rather than a damage loss, and it is softened by a protection option at checkout and by a slot that re-opens for sale the moment the cancellation is processed.
That is a commercial judgement rather than a compliance one, and it belongs to you. Cancellation protection softens the loss and is not travel insurance, and the terms sit with you rather than with an underwriter.
The expensive failure is not a damaged unit. It is a unit that went out without a complete document set, on a Saturday morning when the queue was long, and then something happened.
Collecting the licence, the insurance detail and the signed waiver before arrival removes the queue and removes the temptation at the same time. The share of rentals leaving with a complete document set is the number worth watching, and it is a number most operations cannot produce today.
Bodhisys collects, stores and attaches documents to the reservation and to the person. It does not verify a licence against a government database.
Nothing on this site is legal advice about what your jurisdiction requires, and nothing here is insurance advice. What your policy covers and what your state asks for are questions for your broker and your attorney, and the answers differ by market in ways software should not guess at.
More than the insurance premium, because the premium is the only part that arrives as an invoice. Under it sit damage absorbed rather than pursued, refunds issued to end disputes, and the days units spend off the board while either is resolved.
The cheapest control is evidence: a photographed condition record at both ends of the rental held against the unit, and a photo, timestamp and location for an unattended delivery. The most expensive failure is a unit leaving without a complete document set because the counter was busy, which is solved by collecting documents before arrival.
No. It collects, stores and attaches the licence, insurance detail and signed waiver to the reservation and to the person, and where a category needs it a sobriety check with video confirmation. It does not check a licence against a government database.
That is a commercial judgement about how many bookings the friction costs you against how much cost it moves off your books. Both work; neither is advice we can give for your market.
No. What your jurisdiction requires and what your policy covers are questions for your broker and your attorney. The software holds the records those conversations depend on.
A demo takes six fields and someone who understands rental operations calls you back. Where Bodhisys is the wrong fit you will hear it on that call rather than after three meetings.
